Blue Door Psychology is committed to providing quality services to you and this policy outlines our ongoing obligations to you in respect of how we manage your Personal Information.
We have adopted the Australian Privacy Principles (APPs) contained in the Privacy Act 1988 (Cth) (the Privacy Act). The APPs govern the way in which we collect, use, disclose, store, secure and dispose of your Personal Information.

Above and beyond this, as a psychological clinic, our practitioners abide by the codes set out by the Australian Psychological Society (APS) in the APS Code of Ethics.
What is Personal Information and why do we collect it?
Personal Information is information or an opinion that identifies an individual. Examples of Personal Information we may collect include names, dates of birth, contact details, Medicare or private health insurance details (where relevant), and information related to referrals, appointments, and service delivery.
This Personal Information is obtained in many ways including interviews, correspondence by phone, by email, via our website www.bluedoorpsychology.com.au, referrers and from third parties. Our website may contain links to third-party websites. We are not responsible for the privacy practices or content of those third-party websites.
We only collect your Personal Information for the primary purpose of providing our services to you.
When we collect Personal Information we will, where appropriate and where possible, explain to you why we are collecting the information and how we plan to use it.
Sensitive Information.
Sensitive information is defined in the Privacy Act to include information or opinion about such things as an individual's racial or ethnic origin, political opinions, membership of a political association, religious or philosophical beliefs, membership of a trade union or other professional body, criminal record or health information.
Sensitive information will be used by us only:
• For the primary purpose for which it was obtained (for example, psychological assessment, individual therapy, or participation in therapeutic group programs).
• For a secondary purpose that is directly related to the primary purpose (such as the preparation of assessment reports, treatment planning, clinical documentation, or coordination of care).
• With your consent; or where required or authorised by law.
Third Parties.
Where reasonable and practicable to do so, we will collect your Personal Information directly from you. However, in some circumstances we may collect information from third parties, such as teachers, doctors, paediatricians, psychiatrists, speech pathologists, occupational therapists, psychologists, support coordinators, or other professionals involved in your or your child’s care.
Where information is provided by a third party, we will take reasonable steps to ensure you are aware of the information collected and the purpose for which it will be used.
With your consent, we may also share relevant information with other professionals involved in your or your child’s care for the purpose of assessment, treatment planning, and coordination of services.
Disclosure of Personal Information.
Your Personal Information may be disclosed in the following circumstances:
• To other health or allied health professionals, schools, referrers, or support providers involved in your or your child’s care, where you have provided consent.
• For administrative purposes necessary to provide our services (such as secure practice management, billing, or accounting services).
• Where required or authorised by law, including where there is a serious risk to your safety or the safety of another person.
Security of Personal Information.
Your Personal Information is stored in a manner that reasonably protects it from misuse and loss and from unauthorised access, modification or disclosure. We use secure, password-protected and encrypted cloud-based systems to store and manage clinical and administrative records.
Retention of personal information.
When your Personal Information is no longer required for the purpose for which it was obtained, we will take reasonable steps to securely destroy or permanently de-identify it, unless we are required by law or professional obligations to retain it.
In accordance with relevant legal and professional requirements, client records are retained for a minimum of 7 years from the date of last contact. For clients who were under 18 years of age at the time they accessed our services, records will be retained until the client reaches 25 years of age, or for 7 years from the date of last contact (whichever is longer).
Overseas Disclosure of Personal Information.
Some of the service providers we use to operate our practice (including practice management software, secure cloud storage, accounting software, and email platforms) may store or process personal information using cloud-based systems. While we take reasonable steps to ensure these providers maintain appropriate privacy and security safeguards, some data may be stored or processed on servers located outside Australia.
Access to your Personal Information.
You may request access to the Personal Information we hold about you and request that it be updated and/or corrected, subject to certain exceptions under the Privacy Act 1988 (Cth). If you wish to request access or correction, please contact us (preferably in writing or by email).
Blue Door Psychology will not charge a fee to make an access request. However, we may charge a reasonable administrative fee to provide copies of records (for example, for photocopying, printing, postage, or staff time involved in preparing the information).
To protect your Personal Information, we may request identification and may need to confirm your authority to access the information (for example, where a parent/guardian is requesting access on behalf of a child).
Maintaining the Quality of your Personal Information.
It is an important to us that your Personal Information is up to date. We will take reasonable steps to make sure that your Personal Information is accurate, complete and up-to-date. If you find that the information we have is not up to date or is inaccurate, please advise us as soon as practicable so we can update our records and ensure we can continue to provide quality services to you.
